Step-by-step guide on how to approve a webpage as a final approver.
There are different steps depending of your final approval status. Select the guide relevant to you.
Full accredited final approver (FP & NFP)
Step 1
All members of the group will receive the 'Final approval task' in their AEM inbox. This task will include the preferred approver and any comments added by the initiator.
Highlight the task by selecting the icon next to the task name.
Select the 'Delegate' option in the top menu bar. Assign this task to yourself. This task will then be removed from the rest of the groups AEM inbox.
Step 2
Once assigned to yourself, highlight the task again by selecting the icon next to the task name.
Select the 'Select the report type' option in the top menu bar. From the dropdown, select the 'Workflow Report' option.
This will open a report in a new tab. The report will be pre-populated with the correct path.
In the 'Latest Workflow Details' table, download the final approval checklist uploaded by the initiator. You will use this to review the webpage.
Step 3
To review the page, highlight the task in your AEM inbox again and select the 'View payload' option in the top menu bar.
The page will open in a new window. Review the item fully.
IMPORTANT!
DO NOT edit the page. This is to review the existing content only. If changes are needed, you will have the opportunity to feedback changes to the requestor.
1. Download the final approval checklist(s) from the Workflow Report
2. Review all evidence and reviews added to the page from the Workflow Report
3. Check the page content as per the checklist
4. Check the responsiveness of the page
Step 4
Once you have reviewed the page, you can respond to the initiator.
In your AEM inbox, highlight the task by selecting the icon next to the task name.
Select the 'Complete' option in the top menu bar. This will present a pop-up with a form for you to fill in.
Approval status - Select the correct response for the review.
- Approved
You have reviewed the page and you have approved it as is. - Rejected
You have reviewed the page but cannot approve it without amendments.
If you have approved the page, you will be relayed the expiry date given by the initiator.
Change expiry date - Select whether you are happy with the expiry date.
- Yes, I want to change the date
- No, I agree with the date suggested
Expiry date - If you have selected that you want to change the date, select the correct expiry date. The expiry date cannot be set to a weekend, or on a known Bank Holiday.
The expiry date should also be set to 11:00am. We set this to 11:00am as this is within our core working hours and someone will be available to support if a page expires uniintentionally.
Comments/Reason for rejection - For each approval status, you have the option to add comments back to the requestor.
For the Rejected' status, the 'Reason(s) for rejection' field is mandatory. You must add details of why the asset was rejected.
Upload final approval checklist - Upload your final approval checklist. If there are more than one checklists, zip them together and upload.
Attach evidence (optional) - For each status, you have the option to add any attachments to back up your status. For example, if amendments are needed, attach mark ups.
Once filled in, click 'Submit'. This response has gone back to the requestor.

Manager - Select a manager to review your final approval response. Start to type in a users name and a list will appear with the appropriate users.
Once filled in, click 'Send for QC'. Your completed final approval form will be sent to the selected manager for review.
Step 5
For the approving manager
As the reviewing manager, you will receive a 'Trainee final approval compliance task' in your AEM inbox.
Highlight the task by selecting the icon next to the task name.
Select 'View payload' to review the page.
Step 6
Once you have reviewed the page, select the task in your AEM inbox again. Select 'Complete'.
Review the trainee final approvers response and download their checklist.
Respond to the trainee final approver by filling in the form.
Quality control approval status - Select your approval status.
- Pass
- Fail
Comments (optional) - You can add any comments for the trainee final approver.
Once complete, select 'Submit'. Your response will be send back to the trainee final approver.
Step 7
For the trainee final approver
In your inbox you will receive the 'Trainee final approval compliance task complete' in your AEM inbox.
Highlight the task by selecting the icon next to the task name.
Select 'Complete' to progress the workflow.
Step 8
This will present a pop-up with a form. The form will present differently depending whether you have passed or failed your quality check.
If your passed your quality check, the form will be pre-populated with the content you completed originally. Click on 'Submit' to send this to the requestor.
If you failed your quality check, the form will be partially populated.
Approval status - This will pre-populate with the opposite approval status you selected originally.
- Approved
You have reviewed the page and you have approved it as is. - Rejected
You have reviewed the page but cannot approve it without amendments.
The rest of the form will be empty. Fill in the form with the correct details and submit the form back to the requestor.

Marketing Compliance - Your approval response will automatically be sent to Marketing Compliance.
Once filled in, click 'Send for QC'.
Step 5
For Marketing Compliance
You will receive a 'Trainee final approval compliance task' in your AEM inbox.
Highlight the task by selecting the icon next to the task name.
Select 'View payload' to review the page.
Step 6
Once you have reviewed the page, select the task in your AEM inbox again. Select 'Complete'.
Review the trainee final approvers response and download their checklist.
Respond to the trainee final approver by filling in the form.
Quality control approval status - Select your approval status.
- Pass
- Fail
Comments (optional) - You can add any comments for the trainee final approver.
Once complete, select 'Submit'. Your response will be send back to the trainee final approver.
Step 7
For the trainee final approver
In your inbox you will receive the 'Trainee final approval compliance task complete' in your AEM inbox.
Highlight the task by selecting the icon next to the task name.
